How to control which SurePoint Practice Pro alerts to receive, where they show up and when for your own profile.
Notification Settings controls how SurePoint keeps you informed about activity on your matters, such as a budget threshold being reached, a prebill awaiting approval, or an approaching deadline. Each user manages their own notification preferences, so changes you make affect only your account.
The event types are grouped into two categories:
Instant events: Triggered when an event occurs. You can choose to receive these notifications immediately or as part of a digest.
Reminder event: Sent before a scheduled event or deadline. You can specify how many days in advance you want to be notified.
Setting up Notification Settings:
Open your own member record, then move to the Settings tab and its Notification Settings sub-tab:
Your name (top right) → Member profile → SETTINGS → Notification Settings
The Settings tab appears alongside two other sub-tabs, Abbreviations and Suggestions, in the left-hand navigation pane. Before making any changes, make sure you've selected Notification Settings.
Notification Settings Page:
The blue summary panel at the top provides a one-line explanation of each of the ten events. It is worth reviewing the first time, as some event names are easy to confuse, such as Task Approaching Deadline and Task Approaching Due Date. Below the panel, each event appears in its own row and includes the same three controls.
Control |
| What it does |
In App |
| Displays the alert in SurePoint’s notification bell. Keep this turned on for alerts you want to see while working in the app. |
| Sends the same alert to your inbox. Turn this on for time-sensitive alerts you need to catch even when you are not logged in. | |
Digest / Reminder |
| Controls timing based on the event type. For instant events, it sets how quickly the alert is sent, currently Immediately. For reminder events, it changes to the advance-days control as described. |
AUTO SAVE ENABLED |
There's no Save button. Flipping a toggle, choosing a digest option, or adding an advance-day value applies the moment you do it — a small “Auto Save Enabled” indicator near the top of the page confirms this. |
Instant & Digest events:
Instant events send a notification when something happens, rather than on a countdown. These six events each include independent In App and Email toggles, plus a Digest timing dropdown that is currently set to “Immediately.”
Set Up example:
Event | In App | |
Matter Budget Exceeded A matter's budget has been exceeded. | On | On |
Pre-Bill Review A prebill is ready for review. | On | On |
Pre-Bill Approved A prebill has been approved. | On | On |
New Member Added A new member has been added to the firm. | Off | Off |
New Member Activated A new member has been activated. | Off | Off |
NetDocuments Admin A Contact or Matter was created in NetDocuments (admins only). | Off | Off |
Digest Settings
a. Immediately: sent as soon as an activity meets the threshold.
b. Hourly: sent every hour, covering all activities that met the threshold
during that hour.
c. Every 3 Hours: sent every three hours, covering all activities that met the threshold during that window.
d. Daily: sent once a day, covering all activities that met the threshold that day.
e. Weekly: sent once a week, covering all activities that met the threshold that week.
f. Monthly: sent once a month, covering all activities that met the threshold that month.
Reminder events:
These four events don't wait for something to happen — they warn you before a date arrives. Instead of a digest dropdown, each gets a Reminder Days In Advance field where you build a list of lead times.
– Task Approaching Due Date — a task's due date is within your chosen number of days.
– Task Approaching Deadline — same idea, but only for tasks flagged as a deadline rather than an ordinary due date.
– Matter Approaching Statute Of Limitations — a matter's statute-of-limitations date is coming up.
– Rate Assignment Expiring — a billing rate assignment is nearing its end date.
WHO ELSE GETS THESE The ⓘ icon next to Statute Of Limitations and Rate Assignment Expiring spells out the full audience: “Sent to the Matter's Originator, Manager, and Role Assignment Members.” |
Changing a setting:
1. Find the event's row — scroll the notification table until you reach the event you want to change; instant events are listed first, reminder events below them.
2. Toggle In App and/or Email — click either switch to turn that channel on or off. The two are independent — you can get an in-app alert without an email, or vice versa.
3. Confirm it stuck — because the page auto-saves, the switch's new position is the confirmation — there's nothing further to submit.
Setting advance days:
For the four reminder events, the Digest column is replaced by a small field and an Add button. This is how you tell SurePoint how far ahead to warn you — and you can stack more than one lead time per event.
1. Type a number of days — click the field (placeholder text reads “e.g. 7”) and enter how many days before the date you want to be reminded.
2. Click Add — the value appears as a chip in the Advance Days list to the right. Repeat with a different number to add another lead time — for example, one reminder 30 days out and a second, more urgent one at 7 days.
3. Remove one you no longer need — until a value is added, that column reads “No advance reminder days selected yet.” Existing chips can be removed the same way they were added, one at a time.
Notes
THIS PAGE IS PER-MEMBER There is no firm-wide default set from here — each person visits their own Member → Settings → Notification Settings to opt in or out. If a colleague says they're missing an alert, check their own copy of this page, not yours. |
TURNING EVERYTHING OFF Switching both In App and Email off for an event doesn't delete its advance-day list (for reminder events) — it just stops both channels from firing. Flip either toggle back on and the existing values are still there. |
