SurePoint Pro - LawMatics Integration

From SurePoint Pro Release 6.4.0 there is now an integration with Lawmatics.

This integration allows Firm administrators to automate their Client intake process.
This enables administrators to link Lawmatics Contacts to related Matters as the Contacts convert to Clients automatically.

Please Note: It is a prerequisite that a Lawmatics account be set up with complete onboarding in order to allow connection to SurePoint Pro.

To begin utilizing Lawmatics in SurePoint Pro, a firm admin must connect the Integration.

Below are the steps for that connection:

Once logged into SurePoint Pro navigate to Firm Settings (found in the drop down beneath the user’s name in the top right corner).

Connect to the integration.

Sync contacts.

Note: When you do sync contacts it will generate a list of all the context that has been grabbed from Lawmatics and that we have in Practice Pro. And the users can go through and do a reconciliation so that they're the owners of their data and knowing what they're pulling in and seeing on our site, they can approve, you know, one by one if they want, they can skip and not add the import.

Connecting:

Once connected, the Lawmatics fields must be linked to the SurePoint Pro fields.

Note:

The Lawmatics fields are defined when onboarding is completed with the Lawmatics platform (this is done outside of the SurePoint migration)

You can begin linking fields for your contacts by choosing the Lawmatics field from the pull down first and then select the Practice Pro field you want to map to from its pull down.

i. Click the create mapping button. The mapping you set will display below.

ii. Continue to map each field that you expect to see from Lawmatics in SurePoint Pro

iii. Repeat the same process for mapping fields for Matters, by selecting the matter link in the Map Fields section.

Field Mapping:

Once the field linking is complete, the Integration can be marked complete.

Configuration Complete:

Duplicate contact and matters are identified if the email address for each is the same. A message will display alerting the user to make an update prior to syncing can continue.

Users also have the option to sync all matters to Lawmatics, but may not be required in most instances.

When viewing the Contact or Matter list in Practice Pro, the list can be filtered by Contacts or Matters that are linked to Lawmatics.

Reconcile contact information:

Review Contacts in Lawmatics and compare to the SurePoint Pro contact list

When a user selects the ‘Sync Contacts’ the user will view a list of contacts t to reconcile the Data is as expected

Approve all = accepts the complete list of contacts as they have been linked to Lawmatics

Skip All = does not Sync clients and allows for individual items be moved to Sync

At the individual contact level, a user can:

  • Approve = this will accept the contact as it has been linked to Lawmatics

  • Skip Import = does not link contact to Lawmatics

  • Fields = will display the contact and the field mappings

Reconcile Contacts:

Please Note:

A new field has been added to the import tool to allow both contacts and matters to be imported with a Lawmatics ID

Imported data will be required to be reconciled by the user that is executing the import.

Frequently Asked Questions

What if I cannot connect to Lawmatics?

Check your setup within the Lawmatics platform. Firms must have an active Lawmatics account and complete any required configuration in Lawmatics before connecting with SurePoint.

What if I do not see the correct data for a contact or matter after syncing?

Review the **History** section under **Firm Settings** in LawToolBox. If a contact or matter failed to sync, the error will be listed along with a message explaining the cause. After correcting the issue, retry the sync from the Contacts or Matters list page.

What if I do not see the client or matter in SurePoint Pro that was created in Lawmatics?

Check the **History** tab on the Contacts List or Matters List page for any validation errors. Once the validation issues have been resolved, retry the sync to move the contact or matter into SurePoint Pro.

Also verify that any members associated with the contact or matter have been set up as members in SurePoint Pro.

Can field types defined in Lawmatics be mapped to fields in SurePoint Pro?

Yes. SurePoint Pro supports direct mapping of the following standard field types:

Custom labels created in Lawmatics can be mapped to SurePoint Pro by creating corresponding custom fields in SurePoint Pro.

* The import tool includes a field that allows both contacts and matters to be imported with a Lawmatics ID.

* Imported data must be reconciled by the user performing the import process.
