Practice Pro - Export And Import Security Groups Between SurePoint Pro Datasets

You can now export your firm's security groups to a CSV file and then import that file into another SurePoint Pro dataset. This copies your security groups and their permissions to the other dataset, so you don't have to rebuild each group by hand.

Example - you might do this when you move your firm to a new dataset.

The CSV file has one row for each security group and one column for each permission. Each permission is written as an ability you can read, such as Create, Read, Update, Delete, Manage Own, Import or Export.

Please Note: Import your security groups before you import members. The Member import finds each member's security group by name. If the group doesn't exist yet in the new dataset, the member is placed in the default User group.

Who Can Do This

Export and import are controlled by the Security Groups permissions in your own security group:

  • To export security groups, you need the "Export" permission for Security Groups.

  • To import security groups, you need the "Import" permission for Security Groups.

Members of the Admin security group can access everything in the system. To learn how permissions are set, see Create Security Groups For Your Organization.

Export Security Groups

Export the security groups from the dataset you want to copy them from.

  1. Click your name in the top right corner of the page.

  2. Click "Firm Settings".

  3. Click the "Security Groups" tab.

  4. Click the export button for security groups.

  5. Save the CSV file to your computer.

The file has one row for every security group in the dataset, including the Admin and User system groups.

Import Security Groups

Import the file into the dataset you want to copy the security groups to.

  1. Sign in to the dataset where you want to add the security groups.

  2. Click your name in the top right corner of the page.

  3. Click "Firm Settings".

  4. Click the "Security Groups" tab.

  5. Click the import button for security groups.

  6. Choose the CSV file you exported.

  7. Click "Save".

  8. Review the import results. The Admin and User system groups are listed as skipped.

The import matches security groups by name. Security group names are unique within an organization.

  • If the dataset has no group with that name, a new security group is created.

  • If the dataset already has a group with that name, its permissions are updated to match the file.

What Is And Isn't Included

Included

  • Security group names

  • All permissions for each security group, one column per permission

Not Included

  • Admin and User system groups. These groups are created in every organization by default. The import skips them and lists them as skipped, not failed.

  • Members. Security group membership isn't part of this file. Members are moved with the Member export and import, which include a Security Group column. See Import Members, Contacts, Matters, And Tasks.

  • Dashboards and custom report visibility. After you import, check the dashboard and custom report settings for each group. See Dashboards For Security Groups In SurePoint Pro.
