In this video, we'll walk through generating prebills.
Navigate to the Unbilled page on the left sidebar.
Here you can review all unbilled time and expenses by Matter or by client, and generate prebills by default.
The grid on the By Matter tab lists each Client and Matter, along with key details, client and matter names for easy identification, Matter Originator and Matter Manager matter billing note where any special instructions appear, actual hours log versus adjusted hours that can be billed, unbilled fees and expenses associated with each matter, and as you scroll to the right, you'll see interest in the total for the matter.
The By Client tab displays the same set of columns and details, but organized at the client level rather than the Matter level.
To change what columns are present in the grid, select Settings and choose which columns you want to display.
Within the Actions column.
You have the option to generate a single prebill or view the individual unbilled charges present for that client.
To generate prebills, first choose whether you'd like to do Matter based or client based billing by generating prebills on the By Matters tab or By client on the By Client tab.
With Client Based Billing, you can select a client and bill your unbilled charges from multiple matters on a single invoice.
With Matter Based Billing, you can select a matter and bill your unbilled charges for a specific matter on a single invoice.
Then use the available filters to narrow down which pre bills you want to generate.
For example, if you're generating pre bills for a specific matter originator, ensure you are on the By Matter tab, open all filters and select the appropriate originator.
A commonly used filter is setting the started at field to the last day of the previous month.
This limits the pre bills to only time and expenses dated on or before that end date.
You'll also see an option to include all unbilled expenses when enabled.
This will include all expenses regardless of their date.
For instance, if you're started at end date is November 30th and you said include all unbilled expenses to yes, the pre bills will pull in all time entries through November 30th plus all expenses even those dated after November 30th such as expenses from December.
After applying filters, you can save the filter for future use.
Most firms save filters by client originator or matter originator.
Select save filters.
Name your filter.
Click save filters.
Your saved filter will appear as a button underneath the filter section in the future.
Click it and all your chosen filters will instantly reapply.
When you're ready, you can generate all pre bills in the grid at once by clicking Generate Pre Bills and then Generate All.
Alternatively, you can select individual matters, click Generate Pre Bills and choose Generate Selected.
You'll be prompted to confirm the invoice date, which can be updated now or in bulk later.
When sending invoices, click Generate Pre bill.
Once pre bills are generated, they move to the pre bill page where you can review and edit each pre bill, approve it, convert it into an invoice and send it to the client.
