How to Configure, Access, and Troubleshoot LEDES Billing in Practice Pro

LEDES (Legal Electronic Data Exchange Standard) billing is a crucial feature for many law firms using Practice Pro. This guide outlines essential steps for configuring, accessing, and troubleshooting LEDES billing functionality in Practice Pro.

Overview of LEDES Billing in Practice Pro

LEDES billing enables users to generate invoices using standardized codes for legal billing. It ensures clarity and compliance in billing processes for law firms.

Integration with Finance Core (Coyote)

If your Practice Pro account is integrated with Finance Core (Coyote), LEDES billing cannot be directly enabled in Practice Pro’s configurations. In this scenario, charge codes are pulled automatically from Finance Core and are displayed on the time entry form in Practice Pro. Users should continue entering time as usual, and charge codes will be applied from Finance Core automatically.

Configuring LEDES Billing

If the LEDES billing option isn’t visible, and your Practice Pro account is not integrated with Finance Core, ensure that all necessary configurations are checked in the Firm Settings section. If issues persist, contact support for further assistance.

Accessing and Downloading LEDES Files

Practice Pro allows users to access and download LEDES files at different stages of the invoicing process:

Steps Before Finalizing an Invoice:

  • Open the prebill for the desired case.

  • Use the dropdown menu next to "Print Preview" to view or download the draft LEDES file.

Steps After Finalizing an Invoice:

  • Navigate to the Invoices page.

  • Locate the relevant invoice.

  • In the "Actions" column, select "Download LEDES Invoice."

Note: You can download LEDES files multiple times to meet your needs.

Troubleshooting Common Issues

Resolving Greyed-Out LEDES Download Options

If the "Download LEDES Invoice" option is greyed out in the Actions column, the invoice likely lacks the required LEDES/UTBMS codes. To resolve this issue:

  1. Delete the problematic invoice.

  2. Add the necessary LEDES/UTBMS codes to the charges on the matter.

  3. Generate a prebill for the matter.

  4. Create the LEDES template from the prebill.

  5. Re-generate the invoice. After completing these steps, the LEDES file should be downloadable from the Invoices page.

Summary

Understanding and effectively managing LEDES billing in Practice Pro requires attention to system configurations, integration impacts, and file generation processes. For accounts integrated with Finance Core, LEDES codes are managed automatically. Users can access LEDES files before and after finalizing invoices, with troubleshooting steps available for common issues like greyed-out options. For further assistance, consult Practice Pro support or review additional resources on billing configurations.
