How To Add Role Groups In Firm Settings In ZenCase

Overview

Firm administrators can easily and quickly setup different roles and rate assignments for your team by creating a set of role groups. These role groups can be configured to use on the client or matter and will use these roles and rate assignments while having one place to update these role groups in Firm Settings. Role groups can also be overridden by custom roles on the client and matter as needed.

How To Setup A Role Group

Firm administrators can setup as many role groups as needed.

  • Click on your name in the top right corner.

  • In the pop up menu, select "Firm Settings".

  • On the Firm Settings page, click on the "Settings" tab and then "Role Groups" in the left navigation bar.

  • Click on "Add Role Group".

  • Enter a name for your role group and click "Save".

  • You will be redirected to the new Role Group page.

  • Click on "Add Role Assignment".

  • Enter the member.

  • Enter the member type.

  • Enter bill rate.

  • Enter start date as needed.

  • Enter end date as needed.

  • Click "Save".

You have successfully created a role group with role and rate assignments.

Now that you have created your role groups, these role groups can be applied to clients and matters.

How To Apply A Firm Role Group To Client

Once firm role groups are setup, you can now use them for your client or matter.

  • In the left navigation bar, click on "Contacts" to view contacts.

  • Click "All Filters" button.

  • In the right panel, filter by "Is Client" equal to "Yes" so you can view all clients.

  • Click "Apply Filters" and close right panel.

  • You can alternately search for your client in the search bar.

  • Under the "Name" column, click on a client name.

  • You will be redirected to the Client details page.

  • Click on the "Roles" tab.

  • In the "Role Group" selection dropdown, choose your firm role group by name.

  • Once you choose a firm role group, you will see the role assignments for that group.

    • Note: This will apply a firm role group to your client. You cannot modify the firm role group from this page. Only firm administrators can modify role groups from the Firm Settings page.

  • You can keep the firm role group chosen, or you have the option to "Copy Roles To Contact" which will copy all of the firm role group's rate assignments to the client.

    • If you choose to copy roles, then the Role Group will change back to "None (Custom Roles)" and you will be using custom role assignments for your client.

    • You can then modify your copied rate/role assignments as you need, however note they will no longer be using the firm role group.

You have successfully applied or copied a role group with role and rate assignments.

You can choose to also setup the firm role group at the matter level if needed as well.

How To Apply A Firm Role Group To Matter

  • In the left navigation bar, click on "Matters" to view matters.

  • Under the "Matter Name" column, click on a matter name.

  • You will be redirected to the Matter details page.

  • Click on the "Roles" tab.

  • In the "Role Group" selection dropdown, choose your firm role group by name.

  • Once you choose a firm role group, you will see the role assignments for that group.

    • Note: This will apply a firm role group to your client. You cannot modify the firm role group from this page. Only firm administrators can modify role groups from the Firm Settings page.

  • You can keep the firm role group chosen, or you have the option to "Copy Roles To Matter" which will copy all of the firm role group's rate assignments to the matter.

    • If you choose to copy roles, then the Role Group will change back to "None (Custom Roles)" and you will be using custom role assignments for your matter.

    • You can then modify your copied rate/role assignments as you need, however note they will no longer be using the firm role group.
