How To Setup Firm Custom Contact And Matter Numbers In ZenCase

Overview

You can setup custom numbering for contacts and matters for your law firm in ZenCase to help automatically number and add options for prefix, suffix, delimiter, and prefix matter numbers with client numbers.

Note: You must be a firm administrator to be able to configure these options in ZenCase.

Custom Contact Numbers

Contacts and clients use the same numbering system unless specified to have separate numbers in ZenCase. To use custom numbers for contacts, you must first enable the setting.

  • Go to Firm Settings.

  • Click on the "Configurations" tab.

  • Click on the "General" tab from the left navigation.

  • Under "Numbering System" section, you will see 3 options: Contact, Client, and Matter.

  • Click the "Enable Custom Contact Numbers" to toggle this option on.

  • The toggle button will turn blue when enabled.

  • You can now set a prefix, suffix, or starting number if desired.

In the example box, you will see what the contact number will look like when you add any of the options. This will give you an idea of how your contact numbers will be automatically created.

Custom Client Numbers

In order to ensure uniqueness between contact and client numbers, you will need to add a prefix or suffix to your client numbers. To use custom numbers for clients, you must first enable the setting.

  • Go to Firm Settings.

  • Click on the "Configurations" tab.

  • Click on the "General" tab from the left navigation.

  • Under "Numbering System" section, you will see 3 options: Contact, Client, and Matter.

  • Click the "Enable Custom Client Numbers" to toggle this option on.

  • The toggle button will turn blue when enabled.

  • You can now set a prefix, suffix, or starting number if desired.

Note: You must set a prefix or suffix for custom client numbers to ensure uniqueness between contacts and clients.

In the example box, you will see what the client number will look like when you add any of the options. This will give you an idea of how your client numbers will be automatically created.

Custom Matter Numbers

To use custom numbers for matters, you must first enable the setting.

  • Go to Firm Settings.

  • Click on the "Configurations" tab.

  • Click on the "General" tab from the left navigation.

  • Under "Numbering System" section, you will see 3 options: Contact, Client, and Matter.

  • Click the "Enable Custom Matter Numbers" to toggle this option on.

  • The toggle button will turn blue when enabled.

  • Set the "Prefix With Client Numbers" option to create matter numbers with the client number at the beginning.

  • When setting "Prefix With Client Numbers", you have the option to set a Delimiter.

  • Set the "Sequence By Client Number" option to reset the starting numbers for new matters for each new client.

  • You can now set a prefix, suffix, or starting number if desired.

Note: You must set "Prefix With Client Numbers" and set a starting number in order to use the "Sequence By Client Number" option to ensure uniqueness by client.

In the example box, you will see what the matter number will look like when you add any of the options. This will give you an idea of how your matter numbers will be automatically created.
