In this video, we'll walk through how to generate and view billing statements in practice.
Pro billing statements provide a clear, comprehensive view of all invoices and payments associated with a specific client or matter, including the current balance.
You can choose to show all open invoices with their applied payments or narrow the statement to only include activity within a specific date range.
First, let's walk through how to generate a billing statement.
We'll start by opening the Billing Statement section from the left navigation bar.
From here, click Generate New Billing Statement.
The statement date will automatically default to Today, but you can adjust it if needed.
Next, select your client and if you'd like, choose a matter as well.
The billing contact defaults to the client, but if someone else should receive the bill, you can easily select a different contact from your existing list.
Then select the status of your statement.
You have three options.
Preparing this lets you make edits or adjustments before finalizing.
Finalized.
This locks the statement so no further changes can be made.
Processed.
This means the statement has been finalized and emailed to the client.
Now let's choose the statement type.
You can pick Invoices and Payments in a date range, which will allow you to select the date range with a specified beginning and end date, or open Invoices and payments applied to them.
You can also add a client note if you'd like it to appear on the statement, or a private note for internal use only.
On the right side of the screen, you'll see additional settings.
Here you can customize how your statement looks.
Check Split Charge / Credit columns to show debits and credits.
In separate columns, select Show Credit Available to display any remaining client or matter credit, and choose the transaction order, either Ascending Recent Last or descending Recent first.
Once everything looks good, click Save and that's it, you've just generated a new billing statement.
You can also generate multiple billing statements at once.
To do this, navigate to Unbuild in the left sidebar and open the Generate Statements tab, or go to Prebuild and select Generate Statements.
There, from either location, choose whether you'd like to generate statements by Matter on the Generate by Matters tab or by client on the Generate by Clients tab.
Use filters to narrow down which billing statements you want to generate.
For example, if you're creating statements for a specific client originator, go to the Generate by Client tab and select All filters.
Choose the originator, then review the default filters.
Type is set to with positive invoice balance to show clients with outstanding AR, which is the most common selection.
Exclude records with defaults to existing statement in progress to prevent regenerating statements already in progress.
Select the individual statements you want to generate or select all.
Open the Generate Statements, drop down and choose Generate Statements.
Make any necessary updates and then click Generate Billing Statements.
Your billing statements have now been generated.
Now let's take a look at how to view and manage your statements.
From the left navigation bar, click Billing Statements again.
Here you'll see a complete list of all previously generated billing statements.
Use the tabs at the top of the screen to switch between all statements or narrow your view to those that are currently in preparing, finalized, or process status.
If you're looking for a specific statement, you can quickly locate it by entering in its statement number, or click All Filters to refine your results with more detailed filtering options.
You can also customize your view by selecting Settings in the top right corner of the table, where you can choose which columns you want to display.
Once you've located the billing statement you want to work with, you'll see several options in the Actions column, each available based on the statement's current status.
View Billing Statement PDF lets you open and then download or print the statement.
Edit Billing Statement is available only for statements in preparing status and allows you to make changes including updating the status.
You can also delete a billing statement when needed.
For statements that are in processed or finalized status, additional options become available.
You can e-mail statement directly to the client.
And view e-mail history to see past e-mail activity.
