In this video, we'll walk through the Outlook calendar integration.
You'll learn how to view your Outlook calendar from within the system, view other users calendars, and create new events that can be linked directly to matters.
Before you can begin managing your calendar, you'll need to connect your Outlook environment.
If you haven't done that yet, be sure to review the related articles for detailed step by step instructions.
Once your calendar is connected, open it by clicking Calendar on the left side of the screen.
Your default calendar view, whether month, week or day, is controlled by your account preferences and can be changed at any time till updated.
Click your name in the top right corner.
Select My Profile and Scroll down the Details tab to Preferences.
Open the drop down menu to choose your preferred default view.
Once selected, that view will automatically carry through to your calendar page.
If you have permission to view other users calendars, you'll see them listed here.
In this example, my events appear in red, while Kate's appear in yellow.
You can toggle calendars on or off to customize your display.
Please note that calendar sharing permissions must be configured through Outlook on the web, not through the desktop Outlook app.
If permissions are granted only in the desktop app, they won't carry over.
So if you need to share your calendar or allow someone to add events, log into Outlook on the web and delegate access from there.
To add a new event, click Add Event.
Enter the event details such as the name, start date, and time.
You can invite attendees by typing their names or e-mail addresses.
These will pull from your Outlook contacts and Practice Pro contacts.
The calendar drop down displays your own calendar along with any calendars you have permission to add events to.
In this example, I don't currently have permission to add events to anyone else's calendar.
If your event has a location, such as a conference room or meeting space, you can enter that as well.
You can also link the event to one or more matters.
Add any relevant notes.
These will appear in the calendar invitation sent to attendees.
When everything looks good, click Save.
Once saved, the event will appear on your calendar.
If it doesn't display right away, please refresh your screen to pull it in.
You can adjust your calendar view at any time.
Switch between month, week, day, or list views, depending on what you need.
The List tab displays your selected calendars in a simple, scrollable format for a chosen date range.
You can also open Settings to choose which columns appear, giving you control over the details shown in the grid.
Now let's look at the matter we linked this event to.
Navigate to That Matters Events tab, where you'll see all calendar events associated with that matter.
Here's the meeting event we just added.
You can view it in month, week, or day format, just like the main calendar.
The difference is that this view shows only events related to the specific matter you're working in.
