How To Setup Matter Budget Notifications In ZenCase

Overview

You can setup specific budget notifications for a matter when you want to ensure the amount billed is within a specific budget for your total billed amount, fees billed amount, and/or expenses billed amount. You can always get an overview of your current budget status from any matter page in the header bar in the "Budget" tab.

How To Set Matter Roles To Notify When Budget Exceeded

  • Go to the Matters list page by clicking on "Matters" in the left navigation bar.

  • Click on a matter name in the "Matter Name" column.

  • You will be redirected to the Matter details page.

  • Click on the "Roles" tab.

  • Click "Add Role Assignment".

  • Select Member from dropdown.

  • You will see new options appear after selecting a member.

  • Select "Notify When Budget Exceeded?".

  • Click "Save" or "Save And Add Another".

Once you've created members to be notified for budgets, then you can now setup your actual matter budgets.

How To Set Matter Budgets

There are 3 options for matter budgets: Total, Fees, or Expenses. You can set budgets to watch for the total billed amount which will include both fees and expenses. Or you can setup budgets to watch only fees billed amount or expenses billed amount. You also have the option to set all three types of budgets if desired.

  • Go to the Matters list page by clicking on "Matters" in the left navigation bar.

  • Click on a matter name in the "Matter Name" column.

  • You will be redirected to the Matter details page.

  • Click on the "Settings" tab.

  • In the left navigation, click on the "Budget" tab.

  • In Budget Settings, you can define your budget options.

  • Enter Percent of Budget if needed.

    • This percent is the threshold in which to receive notification when your budget is close to the limit.

  • Enter Total Budget limit if desired.

  • Enter Fees Budget limit if desired.

  • Enter Expense Budget limit if desired.

Once you have setup your budget amounts for the desired budgets, then you can view in the matter top header, there will display a new "Budget" tab. You may need to refresh the page to see the new tab display.

Any matter role members who have the notification option enabled will receive a notification when the budget has reached the threshold percentage configured for the matter.
