How To Create Trigger Workflows In ZenCase

Overview

You can create a trigger workflow for certain conditions in which you want an action performed. For example, when a new matter is created, then you can create a trigger workflow for automatically importing a task blueprint library for each new matter with a specific matter type.

How To Create A Trigger Workflow

  • Go to the "Triggers" page by clicking "Triggers" from the left navigation bar under "Automation".

  • Click "Add Trigger".

  • In the left sidebar, enter the name of your trigger workflow.

  • Enter the description.

  • Toggle the "Active" button. The button will be blue when enabled.

  • Under the "Triggers" tab, select a trigger event.

  • A modal may display based on the trigger event you choose. Complete the additional details for your trigger event and click "Save".

  • Under the "Actions" tab, choose an action to be performed when a trigger event occurs.

    • For some actions, you may see a toggle for "Require Confirmation".

    • When this option is selected, then the user or you will receive a notification in the bell icon in the top right by your name. You will need to click the button to "Confirm" the trigger before the action is performed. Only when the confirmation button is clicked, then the action will be performed.

  • A modal may display based on the trigger action you choose. Complete the additional details for your trigger action and click "Save".

  • Under the "Conditions" tab, you can optionally choose to add a condition for your trigger event.

  • A modal may display based on the trigger condition you choose. Complete the additional details for your trigger condition and click "Save".

Congratulations! You have successfully create a trigger workflow.

  • Matters

    • Matter Type Changed

    • Matter Subtype Changed

    • Manager Changed

    • Jurisdiction Changed

    • Created

    • Closed

    • Field Changed

    • Billing Type Changed

    • Billing Cycle Changed

  • Contacts

    • Salutation Changed

    • Closed

    • Field Changed

    • Checkbox Changed

  • Tasks

    • Status is Stuck

    • Status is Ready

    • Status is On Hold

    • Status is In Progress

    • Status is Completed

    • Status ic Closed

    • Priority Changed

    • Datetime Field Changed

Depending on which trigger you choose, an example Action would be:

  • Create Task

  • Close Tasks

  • Send Notification

  • Send Email To Member

  • Import Blueprint

Depending on which trigger you choose, an example Conditions would be:

  • Has Originator

  • Has Matter Type

  • Has Manager

  • Has Jurisdiction

  • Has Client

  • Has Billing Type

  • Has Billing Cycle

  • Field Contains
