How To Populate Your Subjects, Facts, Authorities, Questions, Answers, Connections, Documents, Memos, and Tasks For Your Matter In One Place

What is Zen KM?

Zen KM is your knowledge management center where you can collect, organize, and share your matter information with your legal team.

You can quickly add new subjects, facts, authorities, questions, answers, connections, documents, memos and tasks related to a matter.

You can quickly add dependencies for each as well. For example, does a specific fact relate to a specific subject? You can quickly link these two items together in Zen KM.

How To View Zen KM Items From The Global Zen KM Page

You can view all Zen KM items for all matters from the global Zen KM page.

  • On the left navigation bar, click on the brain icon for "Zen KM".

  • You will see a set of new tabs under Zen KM for:

    • All

    • Subjects

    • Facts

    • Authorities

    • Questions

    • Answers

    • Connections

    • Documents

    • Memos

    • Tasks

  • Under the "All" tab, you can view all Zen KM items for every matter.

  • A search bar is available to help you find a specific Zen KM item.

  • You can also use the available filters and clicking on "More Filters" will give you more options to get to the information you need.

  • Selecting the checkbox to select a few Zen KM items, you can click on "Bulk Actions" which will provide you with options to:

    • Add Tags

    • Remove Tags

    • Clone To Another Matter (not available on "All" tab)

    • Edit Priority (not available on "All" tab)

    • Delete (not available on "All" tab)

  • You have the option to import Zen KM items as well if you have security permissions to perform this action.

When working on a specific case, we recommend going directly to the Matter specific page and clicking on the "Zen KM" tab to make it easier to work on a single case at a time.

Create New Items

When viewing a specific matter's detail page, you will see a tab called "Zen KM". Click "Zen KM" and you can start adding your important matter information here.

How To Add A Subject From The Matter Zen KM Page

You can create new subjects for a specific Matter from the "Subjects" tab in Zen KM when viewing a specific matter.

  • On your Matter Profile page, click on the "Zen KM" tab.

  • You will see a set of new tabs under Zen KM.

  • Under the Subjects tab, click "Add Subject" which will open a new pop up form.

  • Enter your "Short Name". Short names are a way to organize your subjects.

  • Select priority from the dropdown.

  • Enter an external link if you need to link to another website page.

  • Select tags from the dropdown to organize your subject.

  • Enter a description in the "Description" field.

  • Click "Save" or the down arrow for more save options.

  • Save your new subject.

  • You should now see your new Subject in the table.

You have just created a new subject. Any item in Zen KM follows a similar process, simply click on the other tabs and you can create a fact, authority, question, answer, connection, document, memo, or task.

You can link any Zen KM item to another Zen KM item to show a relationship between to items and display how they are related.

  • From the Subjects tab within Zen KM, select a table row item

  • Click on the "Link Related Item" button in the Actions column

  • In the Link Related Item window, select "Fact" for the type of item you would like to link to your subject.
    ​Note: Options are subject, fact, authority, question, answer, connection, document, memo, or task.

  • You now have an option to create a new fact or choose an existing fact.

  • Let's create a new fact, the "Create New Fact" option should already be selected.

  • Enter the "Date Occurred" date.

  • Check the "Date Only?" option if you only need a date without time.

  • Select priority from the dropdown.

  • Enter an external link if you need to link to another website page.

  • Select tags from the dropdown to organize your fact.

  • Enter your description in the "Description" field.

  • Click "Save" or the down arrow for more save options.

  • Save your new fact.

  • You should now see your fact has been created and linked to your subject.

  • You can see this linked relationship also exists on the Facts tab as well.

As you can see, it is very easy to create new knowledge items for your matter and link one piece of information to another quickly and easily in Zen KM!
